Privacy Protection Notice

Hauler AI is committed to protecting your personal information. This policy explains how we collect, use, and protect your data, in line with Canada's PIPEDA and other applicable privacy law.

Hauler AI is a product of PacificAI Systems Inc..

1. Introduction

Hauler AI (“we”, “us”) operates a transportation management system for auto transport carriers, including a carrier web app and a driver portal and mobile app.

Scope: This policy applies to carriers, their dispatchers and drivers, and anyone else whose information is processed through the Service. Carriers decide what data they put into the Service; we process it on their behalf.

2. What Personal Information We Collect

Carrier / Dispatcher Information

  • Name, email address, phone number
  • Company name and billing address
  • Account preferences, roles and permissions

Driver Information

  • Name, email address, phone number
  • Driver's license and equipment details the carrier chooses to record
  • Compliance and fleet documents the carrier uploads
  • Location data during active jobs
  • Job history and delivery records

Order & Customer Information

  • Pickup and drop-off addresses and contacts
  • Vehicle details (VIN, make, model) and condition/damage notes
  • Prices, invoices and payment terms
  • Bill of Lading and proof-of-delivery documents, photos and signatures

Usage Information (collected automatically)

  • IP address, browser, operating system and device type
  • Pages visited and features used; login times

3. How We Use Your Personal Information

Essential (required for the Service)

  • Authenticate users and manage accounts
  • Process orders and dispatch drivers
  • Send push notifications and emails (such as invoices)
  • Track load and stop status, and generate documents and reports
  • Provide customer support

Optional (with your consent)

  • Product announcements and surveys
  • Analyzing usage to improve the Service

You can opt out anytime by emailing contact@PacificAI.systems.

Legal compliance

  • Detect fraud and prevent misuse
  • Comply with court orders and subpoenas
  • Maintain tax and legal records

4. Who Has Access to Your Information

Role-based access

Admins and dispatchers see company data according to the sections they have been granted — orders, drivers, customers, documents, invoices and location data.

Drivers see only the loads and documents assigned to them. They cannot see other drivers' data.

Customers do not have accounts unless the carrier shares a document or link with them.

Company isolation: every order, driver, customer and invoice is isolated at the database level by company, so one carrier cannot see another's data.

Hauler AI support: our team may view a carrier's account only to troubleshoot, bound by confidentiality.

After termination: You have 30 days to export your data. After that, active data is deleted.

Request deletion: use the Delete Account page or email contact@PacificAI.systems. We respond within 30 days.

6. Security & Breach Notification

  • HTTPS/TLS encryption for data in transit and encryption at rest in the database
  • Hashed passwords — we never store plain-text passwords
  • Role-based access controls and per-company row-level security
  • Regular security updates

Security limitations

No system is 100% secure. You are responsible for choosing a strong password and protecting your devices.

If a breach occurs: we will notify affected carriers by email, describe what data was involved, suggest steps to take, and notify regulators where the law requires.

7. Cross-Border Data Transfers

Our infrastructure providers (Supabase, Vercel and others) may store and process data on servers in the United States or other countries outside Canada. We use contractual safeguards with providers to require equivalent protection.

AI processing: when you use AI order intake, the email text or documents you submit — which may include names, phone numbers and addresses — are sent to our AI providers to read the order details. A person at your company reviews the result before an order is created.

By using Hauler AI you consent to this transfer and storage.

8. Driver Data & Location

When a driver is added to a carrier's account, we collect the information the carrier enters, such as name, phone and email, and equipment details.

Location details

When: while a driver is working an assigned job — not continuous background monitoring.

What: latitude, longitude and timestamp, usually captured when the driver updates load status.

Visible to: the driver and the carrier's authorized dispatch staff.

Purpose: pickup and delivery tracking and ETA updates.

Employment classification: Hauler AI does not determine whether drivers are employees or contractors, and does not withhold taxes or provide benefits. That is the carrier's responsibility.

Drivers may request access, correction, deletion and a copy of their data through their carrier or by contacting us.

9. Your Privacy Rights

  • Access: request a copy of your personal data
  • Correction: update inaccurate or incomplete information
  • Deletion: request deletion, subject to legal retention requirements
  • Portability: receive your data in a machine-readable format (CSV)
  • Withdraw consent: opt out of optional uses such as marketing

Email contact@PacificAI.systems with your name, account email, and the type of request. We respond within 30 days.

10. Cookies & Local Storage

We use only what is needed to run the Service: authentication cookies that keep you signed in, and browser storage that remembers preferences such as light or dark theme. We do not use advertising cookies.
